LOGISTICS HANDLING & COMPLIANCE POLICIES

LOGISTICS HANDLING & COMPLIANCE POLICIES

1. Package Handling & Chain of Custody

All shipments are handled through documented chain-of-custody procedures designed to maintain shipment integrity from acceptance through final delivery. Each package may be assigned a unique tracking or reference number and may be scanned, weighed, inspected, documented, and recorded at designated handling points.

Shipments are stored and transported using procedures appropriate to their declared contents, packaging requirements, value, and handling classification. Fragile, high-value, temperature-sensitive, or otherwise sensitive goods may receive additional protective measures, restricted-access storage, tamper-evident controls, or enhanced verification.

For commercial motor-vehicle transportation in interstate commerce, applicable cargo securement requirements under 49 CFR §§ 393.100–393.136 are observed where applicable. These rules require cargo to be properly contained, immobilized, or secured to prevent shifting, spilling, leaking, or falling from the vehicle.

Chain-of-custody records may include pickup confirmation, package scans, transfer records, inspection notes, photographs, delivery confirmation, and other documentation reasonably necessary to establish shipment history.

—

2. Transportation Insurance & Declared-Value Coverage

Where transportation insurance or declared-value protection is purchased or otherwise provided, coverage is governed by the applicable carrier policy, certificate of insurance, shipment terms, exclusions, deductibles, and claims procedures.

Coverage may protect eligible shipments against specified risks such as loss, theft, or physical damage occurring during the covered transportation period. Coverage is subject to the terms and conditions of the applicable insurance arrangement and is not intended to guarantee reimbursement for every loss or circumstance.

Insurance premiums, protection fees, deposits, and deductibles are not automatically refundable merely because a shipment is delivered successfully. Any refund, credit, reimbursement, or release of funds will occur only where expressly provided by the applicable service agreement, insurance policy, deposit agreement, or other contractual terms.

Customers should retain invoices, shipping documents, photographs, tracking information, proof of value, and other supporting documentation required for claims.

—

3. Interstate & Cross-Border Transportation Compliance

Shipments moving between U.S. states or across international borders are processed in accordance with transportation requirements applicable to the shipment, carrier, commodity, and route.

For interstate motor transportation, applicable Federal Motor Carrier Safety Administration requirements may include vehicle safety, driver requirements, cargo securement, shipping documentation, and other requirements under Title 49 of the Code of Federal Regulations.

Cargo transported by commercial motor vehicle must be properly secured in accordance with applicable federal cargo-securement requirements. 49 CFR § 393.106, for example, requires covered cargo to be firmly immobilized or secured using appropriate structures, dunnage, tiedowns, or equivalent methods.

International shipments may additionally be subject to customs, import/export, duties, sanctions, product restrictions, and other requirements imposed by the countries involved. Customers are responsible for providing accurate descriptions, values, classifications, and documentation where required.

—

4. Crate Rental & Reusable Packaging Policy

Reinforced shipping crates, containers, pallets, or other reusable packaging may be provided under a separate rental or equipment-use agreement.

Where a refundable security deposit applies, the deposit remains subject to the terms of the applicable rental agreement. The customer may be responsible for loss, unauthorized disposal, excessive damage, contamination, or failure to return the equipment within the agreed period.

Upon timely return and inspection, eligible deposits may be released in accordance with the applicable agreement.

Reusable packaging is intended to improve shipment protection, reduce packaging waste, and provide standardized handling for goods requiring additional physical protection.

—

5. Pharmaceutical & Healthcare Shipment Handling

Pharmaceutical, medical, biological, and healthcare-related shipments are accepted only where the shipment, shipper, carrier, and intended transportation method satisfy applicable regulatory requirements.

Where applicable, prescription-drug distribution and tracing requirements may fall under the Drug Supply Chain Security Act (DSCSA), including 21 U.S.C. §§ 360eee–360eee-4. FDA explains that the DSCSA establishes requirements for identifying and tracing certain prescription drugs through the supply chain.

Temperature-sensitive products may require validated packaging, temperature monitoring, controlled storage, documented handling procedures, and other specialized controls.

The shipper is responsible for accurately declaring the contents and providing required documentation. Regulated pharmaceutical products will not be accepted where required licenses, authorizations, documentation, packaging, or handling capabilities are unavailable.

—

6. Automotive & Auto Parts Compliance

Automotive components, mechanical equipment, machinery, and related parts must be properly packaged, labeled, and prepared for transportation according to their characteristics.

Components containing fluids, batteries, fuels, chemicals, refrigerants, compressed gases, or other regulated materials may be subject to additional transportation requirements.

Where hazardous materials are involved, applicable requirements under the U.S. Department of Transportation Hazardous Materials Regulations, 49 CFR Parts 171–180, must be followed. The HMR applies to transportation of hazardous materials in commerce and covers applicable transportation functions from carrier acceptance through delivery.

Customers must disclose regulated materials before shipment. Undeclared hazardous materials may be refused, held, returned, or reported as required by applicable law.

—

7. Refund & Delivery Assurance Policy

Delivery confirmation establishes that the shipment was recorded as delivered according to the applicable carrier’s tracking or proof-of-delivery system. Delivery confirmation does not independently create a right to a refund.

Refunds, credits, reimbursements, or other financial adjustments are governed by the customer’s applicable purchase agreement, shipping terms, service contract, insurance policy, or written refund policy.

Where a shipment qualifies for a refund or reimbursement, the request may be reviewed using tracking records, delivery documentation, payment records, inspection reports, photographs, and other relevant evidence.

No refund will be represented as guaranteed unless the applicable contractual terms expressly provide for it.

ADDITIONAL OPERATIONAL POLICIES

8. Prohibited & Restricted Shipments

We reserve the right to refuse, suspend, inspect, or return shipments containing prohibited or improperly declared goods.

Restricted commodities may include hazardous materials, controlled substances, weapons, explosives, counterfeit merchandise, illegally imported goods, improperly packaged dangerous goods, and other commodities restricted by federal, state, local, carrier, or international regulations.

Customers are responsible for accurately declaring shipment contents before acceptance.

—

9. Shipment Inspection & Documentation Policy

Shipments may be inspected before acceptance where reasonably necessary to verify packaging, declared contents, dimensions, weight, labeling, documentation, or compliance with applicable transportation requirements.

Inspection does not constitute a guarantee that the contents are lawful or that all regulatory requirements have been satisfied.

Where permitted, photographs, package-condition records, weight records, and other shipment documentation may be maintained for operational, claims, security, and compliance purposes.

—

10. Packaging & Damage Prevention Policy

Customers must ensure that goods are packaged appropriately for the anticipated conditions of transportation.

Packaging should provide adequate protection against normal handling, vibration, stacking, movement, and environmental exposure appropriate to the commodity.

The carrier may require repackaging, additional cushioning, reinforced containers, pallets, crates, or other protective measures before accepting a shipment.

Shipments that present an unreasonable risk of damage to the goods, other shipments, personnel, vehicles, or facilities may be refused.

—

11. High-Value Shipment Security Policy

High-value shipments may be subject to enhanced security procedures, including restricted access, additional identification requirements, additional scans, photographic documentation, signature requirements, tamper-evident seals, or other verification measures.

Customers may be required to provide proof of value or other documentation when purchasing declared-value or insurance protection.

Additional security requirements may result in additional handling or service charges where disclosed in advance.

—

12. Temperature-Controlled Shipment Policy

Temperature-sensitive shipments must be declared before acceptance.

Where temperature-controlled transportation is available, the applicable service level, packaging requirements, temperature range, monitoring equipment, and liability limitations will be established before dispatch.

The carrier does not assume responsibility for temperature excursions resulting from inadequate customer packaging, incorrect temperature specifications, delays outside the carrier’s control, or circumstances excluded by the applicable service agreement.

—

13. Claims & Loss Investigation Policy

Customers should report visible damage, shortage, loss, tampering, or other shipment discrepancies as soon as reasonably possible after delivery or discovery.

Claims may require:

– Tracking information
– Proof of shipment
– Commercial invoice or receipt
– Proof of value
– Photographs of packaging and contents
– Delivery documentation
– Inspection reports
– Written description of the loss or damage
– Other documentation required under the applicable carrier or insurance policy

Claims are reviewed according to the applicable service agreement, carrier terms, insurance policy, and governing law.

Submission of a claim does not guarantee payment.

—

14. Customer Declaration & Accuracy Policy

The shipper is responsible for providing accurate information concerning:

– Sender and recipient details
– Shipment contents
– Quantity
– Weight and dimensions
– Declared value
– Commodity classification
– Hazardous-material status
– Required permits or licenses
– Import/export information
– Special handling requirements

Incorrect, incomplete, fraudulent, or intentionally misleading information may result in shipment refusal, additional charges, delay, return, loss of coverage, or other action permitted by applicable law and contract.

—

15. Regulatory Hold & Compliance Review

A shipment may be temporarily held where additional documentation, inspection, verification, payment, licensing information, or regulatory review is reasonably required.

A compliance hold does not necessarily indicate wrongdoing. It may arise from incomplete documentation, carrier requirements, customs procedures, safety concerns, regulatory screening, or discrepancies in the shipment information.

The shipment will be released, returned, or otherwise processed once the applicable requirements have been satisfied.

—

16. Proof of Delivery Policy

Delivery may be confirmed through electronic tracking, recipient signature, delivery scan, photographic evidence, GPS/location records, or other carrier-approved delivery documentation.

Customers should review delivery information promptly and report discrepancies within the applicable claims period.

Proof of delivery confirms the carrier’s recorded delivery event but does not waive applicable rights relating to concealed damage, shortage, fraud, or other claims permitted under the governing agreement.

—

17. Data Protection & Shipment Records

Shipment records may contain customer, recipient, tracking, payment, delivery, and transaction information.

Such information is maintained and used for legitimate operational, customer-service, security, accounting, claims, compliance, and legal purposes, subject to applicable privacy and data-protection requirements.

Access to sensitive shipment information may be restricted to authorized personnel and service providers with a legitimate operational need.

—

18. Policy & Regulatory Updates

Transportation laws, carrier requirements, customs procedures, insurance terms, and regulatory requirements may change periodically.

Accordingly, these policies are intended as general operational terms and do not replace applicable federal, state, local, customs, insurance, or international laws and regulations.

Where a conflict exists between these general policies and mandatory law, the applicable law will control. Where applicable, the customer’s signed service agreement, shipping terms, carrier terms, insurance policy, or other governing contract will establish the parties’ specific rights and obligations.

Legal Notice: References to statutes and regulations are provided for compliance context and do not constitute legal advice. Specific shipments may be subject to additional requirements depending on the commodity, origin, destination, carrier, transportation mode, and applicable jurisdiction.
